Process &
Workflow Management

December 2002

Modeling your processes is good, simulating them in action is better…

As it is true that one of the key objectives of Process Modeling is to enable to process definition to be visible and clearly understood by all, it sets the stage to address another important goal of Process Management: How can we optimize this process for the benefits of our customers and our organization? It is at this point that the EZ-BPR-Analyzer provides you with quantitative analysis to validate the operational efficiency of your processes. In addition to statistical analysis of process cycle time and organizational resources consumption, EZ-BPR also provide simulation capabilities. Comparing your current process with the simulated “What-if” one can not only identify improvement opportunities, but also provides quantified savings & improvement measurements.

Although the EZ-BPR-Analyzer module has been around for a while, it is now possible to operate it on a stand-alone basis. The recent integration of EZ-BPR with EZ-Modeler provides internal and external Consultants the ability to define and optimize any process, right from their laptop. In line with the targeted scope of EZ-Process, these processes can be imported from Baan DEM or simply defined with EZ-Modeler without Baan being involved.

EZ-Process – Why and What?

You don’t know about EZ-Process or DynaFlow? Answer the following questions to define if EZ-Process could be strategic for your organizations and colleagues.

  • We have a significant quantity of internal documents, but no one seems to find them easily when needed. How do we organize them around our business processes so to help our users operate in a more consistent and efficient manner?

  • Our corporate and product know-how resides in our people. How can we maximize the sharing of it and how do we retain it when our employees leave?

  • We’re new in Process Management. Where should we start?

  • Our ISO project helped us define better quality procedures. How do now deploy them to our entire Intranet so for employees to know about them and follow them?

  • We have good process definition but wish to automate them using Workflow Management. What can I expect from it?

Business Modeling for Baan and non-Baan processes

As most organizations today acknowledge the need for their business processes to be defined and well documented, why are some Baan customers not using the Baan Dynamic Enterprise Modeling (DEM) tool? A market assessment enabled us to identify the following causes:

  • Creating DEM diagrams is time-consuming and only provides desktops generation for our limited Baan users…

  • We cannot attach our internal documentation to DEM diagrams …

  • We also have Visio / ARIS / etc diagrams we wish to include to our models …

  • Baan is used only in selected areas of our company, and DEM processes can only be visible to Baan users, a fraction of our employee community …

  • We desire a company-wide model that will show all corporate processes and not only the Baan centric ones …

  • Other sites are using Baan but our division is only due to go to Baan in several months/years. Without any access to Baan, we cannot use its DEM module …

EZ-Process has been developed to remove all the above constraints and limitations. Now used by several Baan customers such as Solar Turbines, Siemens, Herman-Miller, FTS and others.  Business Modeling is now bringing the expected benefits of Total Process Management. In addition to help the desktops generation of Baan users, these fully-documented models are now web-based to allow global deployment within your organization, whether they are all DEMs or mixed with other type of diagrams. And with the use of EZ-Modeler, stand-alone modeling can be performed by non-Baan departments & divisions, enabling a consistent end-to-end process across Baan and non-Baan segments of your company. And when comes time for your divisions to undergo the Baan Go Live, you’re already compliant with Baan!

Web-based Worklist to enhance your collaboration capabilities

DynaFlow is proud to announce its enhanced Web-based Workflow Worklist. Customers can now choose between several notification modes: by Email, by Mobile Messaging (Cellular and Pager) and the user Worklist. Very convenient for Staff, Managers & Consultants on the move, the browser-based Worklist is accessible from any PCs (not only your own desktop/laptop), and do not require installation of any application or plug-ins. In addition to provide the user with tasks description (i.e. What is to be done) and the detailed transactions information (Baan Purchase Requisition, MS-based invoice, etc…) (i.e. On what should it be done), the real-time Worklist enables the user to investigate further more the instance by viewing the events history (i.e. Who did what up so far), any related documents associated to the main transaction, etc… Finally, the Worklist intuitive interface enables the user to send & receive workflow related messages and report the step as completed or rejected. All of it from any browser…

To see the User Worklist in action, simply visit http://dynaflow-dem.com/loadmovie2.htm showing how a Baan Purchase Requisition process is automated by EZ-Workflow.

Launching Baan IV & ERP-5 sessions from EZ-Publisher…

Strong from our invocation capabilities enabling Webtop sessions to be launched directly from EZ-Publisher (presented at the Baan InForum in early 2002), it is now possible for Baan customers to launch also Baan Windows sessions (BWC). Not only EZ-Publisher enables your entire employee community to see and navigate your documented DEM business process diagrams, now they can invoke the appropriate session at any step of the way, if needed.

Picture the following scenario: my organization has 50 concurrent Baan licenses today and count 400 employees.
#1 Benefit: all my 400 employees can see our DEM/other processes, without having to buy additional Baan licenses. As these processes are deployed in a web-based manner, even my Extranet associates could be provided the visibility of their supply-chain processes on which they interact with us.
#2 Benefit:
with 7/24 visibility of their processes, we can maximize the usage of our 50 Baan licenses by allowing “light” users to launch their Baan sessions for the short while they need them. As they exit Baan, they still keep the entire visibility of the work to be done and release the license for another user to benefit from it. The limited 50 concurrent licenses are then used efficiently to allow more than 50 employees to benefit from it. Great news in these times of optimization …
