Olympus Winter & Ibe stands for innovative products in medical technology since its foundation in 1954. Today they employ 500 people. Their endoscope systems are recognized and esteemed throughout the world.
Since Olympus Winter & Ibe is a subsidiary of Japanese based Olympus Corporation, it is required to comply with the Financial Instruments and Exchange Law (also dubbed as J-SOX), scheduled to go into effect in April 2008.
Forrester Research published about the specific challenges Japanese based companies face on J-SOX certification. Their main conclusion: "Audit automation is crucial. With the extreme shortage of auditors, compared to US per capita numbers, this shortage will increase the requirement and necessity for process efficiency in the internal audit process and software that can support these processes".
Faced with this challenge and obliged to comply with the J-SOX regulations, Olympus Winter & Ibe selected EZ-Compliance, developed and marketed by DynaFlow BPM Solutions, global provider of Process Management, Workflow Automation and Compliance Management business solutions.
Beside the ability to dynamically manage Business Controls & Risks associated to their processes, Olympus top selection priority was to satisfy its Segregation of Duties (SOD) compliancy. This critical J-SOX regulation requires Olympus to validate at all time all system accesses of their entire employee community and identify any conflicts of interest that could allow an internal fraud. With several hundreds employees each able to access hundreds & thousands of Baan sessions (and other ERP/Office applications), a manual validation is impossible. Even more that the SOD status needs to be frequently & dynamically re-validated to take into consideration any daily changes to employee status, job functions and Baan sessions mapping.
Uwe Schnittert, Head of IT for Olympus Winter & Ibe GmbH confirms: "We have selected EZ-Compliance because it is the only business solution available able to scan Baan authorizations and identify all related J-SOX Segregation of Duties (SOD) conflicts within the first day of implementation. Its ability to automate this scan daily/weekly without human intervention will not only help us secure our J-SOX audit certification, it will eliminate tedious manual effort and save Olympus significant SOD monitoring and J-SOX audit cost".
Pierre Beaulieu, President of DynaFlow, adds: “With EZ-Compliance and its pre-defined Baan SOD Rules Library, all Olympus 100,000+ authorizations are imported from Baan and scanned within minutes, enabling Olympus Management to resolve and mitigate efficiently any identified SOD conflicts”.
