EZ-Librarian, as a web-based Documentation & Content Management system, provides both an intuitive, online document search & retrieval system for document 'consumers', and the means to support editors/authors creating and reviewing these. It enable organizations to leverage the existing business knowledge found in various document formats by organizing these and, most of all, making them available to all intranet/extranet users by the use of their web-browser.
EZ-Librarian distinguishes between 3 types of users: the document 'consumers', the document editors and the library administrators. For each of these user-types EZ-Librarian provides a set of specific functions (See table below).
'Consumers' can interact with EZ-Librarian through an easy-to-use browser interface. Using this front-end they canFind documentsDocuments managed by EZ-Librarian can be searched by keywords or organization-specific document attributes (like owner, department, business-segment, etcetera). A search can be performed using a combination of regular, mandatory or partial keywords. Search results can be presented in both a concise and detailed summary format. Navigate the libraryEZ-Librarian allows documents to be grouped on particular properties, like, for example, department, business segment or other organization-specific categories. These groups can form hierarchies that can be traversed by end-users to get a quick overview of (and access to) a subset of all available documents. View documentsSeveral document types (Word files, Excel files, etc.) can easily be opened and viewed through MS Internet Explorer. Documents can either be viewed through the browser or can be downloaded to the user’s machine. |
Editors and authors can use the EZ-Librarian companion tool toAdd documents to the libraryDocuments can be assigned to library cabinets. A library can contain many cabinets. Each cabinet is a repository of grouped documents, and will have a physical document location associated with it. Perform full document revision controlEZ-Librarian provides a straightforward check-in/check-out facility to keep track of document revision. Once a document is triggered for revision, a routing scheme tracks and guides the document to the people that need to be involved. A network-based Workflow system automatically provide notification for task to be done to people responsible to do them. Notes can be attached to documents and to their revision steps. These notes can ease communication between various people working on the documents. View the detailed history of document life cycleEZ-Librarian keeps track of when a document is registered, when it was revised and by whom, checked out of the secure vault and put back in, when it was expired, .... Not only does it provide a comprehensive history of the document handlings, it also keeps all previous versions of the actual documents, enabling the document editors/authors to view the actual content of the document has it was at any point in time. |
